Sales teams often capture critical line-level information directly on Quote Line Items during a New Sale, things like commercial or delivery commitments, product-specific clarifications, or special instructions that matter later. That information is often still relevant when the line is later amended or renewed. However the information from the fields are not automatically visible unless it is explicitly carried forward.

Below will show you how to ensure that such information is carried forward and made available again during amendments and renewal process.

We'll take a custom field as an example, the Additional_Notes__c, from Quote Line Item through Order Item into Asset State Period, so it is available again during Amendments and Renewals.

In order to make this information available on amendment and renewal Quote Lines, the Sales Transaction Context Definition must be updated.

Steps:

1. Create the field:
   Create a custom field named Additional_Notes__c on Quote Line Item, Order Item, and Asset State Period. This allows the value captured during quoting to be persisted through ordering and made available for future lifecycle transactions.

2. Edit the Sales Transaction Context:

   • In the Sales Transaction Context Definition in use, add Additional_Notes__c attributes under both the Sales Transaction Item and Asset State Period nodes.
   • Create attribute tags for the attributes on both nodes.

3. Edit the mappings
   3.1 QuoteEntitiesMapping

   • Map the Additional Notes attribute from Sales Transaction Item to Quote Line Item.

   3.2 OrderEntitiesMapping

   • Map the Additional Notes attribute from Sales Transaction Item to Order Item.

   3.3 AssetEntitiesMapping

   • Map the Additional Notes attribute from Asset State Period to Asset State Period.

   3.4 SalesTransactionToAssetMapping

   • Click Select Data Source, open the Context Definition Objects tab, and select the relevant context definition.
   • Map the nodes first by connecting Sales Transaction Item → Asset State Period, then map the Additional_Notes__c attributes from Sales Transaction Item to Asset State Period.

   3.5 SalesTxnItmToAssetStatePrdMap

   • Click Select Data Source, open the Context Definition Objects tab, and select the relevant context definition.
   • Map the nodes first by connecting Sales Transaction Item → Asset State Period, then map the Additional_Notes__c attributes from Sales Transaction Item to Asset State Period.

   3.6 AssetStatePrdToSalesTxnItmMap

   • Click Select Data Source, open the Context Definition Objects tab, and select the relevant context definition.
   • Map the nodes first by connecting Asset State Period → Sales Transaction Item, then map the Additional_Notes__c attributes from Asset State Period to Sales Transaction Item.

Result:

With this setup in place, the values entered in Additional_Notes__c on Quote Line Items during a New Sale are preserved and automatically populated on Amendment and Renewal Quote Lines. This ensures that renewal and amendment teams retain important line-level context without relying on custom automation or pricing logic.
